Traditech B.V., trading under the name TRALERT® (hereinafter: TRALERT®), is responsible for the processing of personal data via our website www.tralert.com/en, by email, telephone and in the course of our services. In this statement, you can read about what data we process, for what purposes, on what legal basis, for how long, with whom we share it and what rights you have.

2. What data we process and for what purposes

We only process data that is necessary for the purpose for which you provide it to us. For each purpose, the table below sets out what data is involved and the legal basis under the General Data Protection Regulation (GDPR) on which we process it.

• Orders and delivery
  Company name, contact person, email address, telephone number, billing and delivery addresses, VAT number, and order and payment details. We use this information to process, deliver and invoice your order, and to keep you informed of its progress.
  Legal basis: performance of the contract and our statutory (tax) obligations.
• Applying for and using a business account
  If you apply for a business account via the registration page or via the form in the pop-up on our website, we will ask for your company name, first name and surname, business email address, telephone number, website, VAT number, Chamber of Commerce or trade register number, delivery address, what you are interested in, and how you found us. We use this information to assess your application, create your account and contact you. We also store your order history, price agreements and preferences in your account.
  Legal basis: measures taken at your request prior to the conclusion of a contract, and the performance of the contract.
• Download the catalogue
  To receive a free catalogue, we ask for your company name and business email address. We record which catalogue you open and from which page. An account manager may contact you regarding this. You will not receive a newsletter without your consent.
  Legal basis: our legitimate interest in following business interest in our products.
• Contact and referral to a sales outlet
  If you contact us, or ask us to put you in touch with a partner, we will use your name, email address, telephone number, town and your enquiry. In order to refer you, we may share this information with a partner (sales outlet) who can assist you further. That partner will use it solely for that purpose.
  Legal basis: your request and our legitimate interest in providing you with the best possible assistance.
• Customer service, warranty and returns
  We use the information you provide, your order details and notes from conversations to process your enquiry and determine whether a product is eligible for repair, warranty or return.
  Legal basis: performance of the contract and our legitimate interest.
• Newsletters
  With your consent, we will send you newsletters about new products, promotions and our product range. If you are already a customer, we may also inform you about similar products without requiring separate consent. You can unsubscribe at any time via the link in each newsletter.
  Legal basis: consent, or for existing customers, our legitimate interest.
• Promotions and competitions
  If you take part in a promotion or competition, we will use your name, address and email address to run the promotion, communicate with you and, where applicable, announce the winners.
  Legal basis: compliance with the terms and conditions of the promotion.
• Website visits, statistics and adverts
  When you visit our website, we process technical data such as your IP address, device and browser details, the pages you view and what you click on. With your consent via the cookie banner, we use Google Analytics to measure how the website is used and can better tailor offers and adverts to your interests. Without your consent, we only set essential cookies.
  Legal basis: consent; for essential cookies, our legitimate interest.
• Website security
  To prevent misuse, spam and attacks, our security systems record IP addresses and technical data relating to requests made to the website.
  Legal basis: our legitimate interest in maintaining a secure website.

Your data will not be sold. We do not make decisions based solely on automated processing that have legal or similarly significant consequences for you.

If you do not provide the details required for an order or enquiry, we will be unable to process that order or enquiry. You will see which details are required on the forms.

3. How long we retain data

• Orders, invoices and administrative records: 7 years, as required by tax law.
• Business account: for as long as your account remains active. Once it is closed, we will only retain the data we are required to keep for administrative purposes.
• Enquiries submitted via forms that do not lead to a customer relationship (catalogue, account request, contact, referral): up to 2 years after the last contact.
• Newsletter: until you unsubscribe.
• Cookies: the expiry period for each cookie is listed in the cookie overview at the bottom of this page.
• Technical logs and security: retained for no longer than necessary, usually a few weeks.

4. Who we share data with

We only share data where necessary for the purposes set out above, where we are required to do so by law, or where you have given your consent. Suppliers who process data on our behalf may only use it on our behalf and must ensure it is properly secured. This concerns:

• Website, security and translation: Kinsta (hosting, on Google Cloud servers), Cloudflare (security and fast website delivery), Wordfence (security) and Clonable (the translated versions of the website).
• Email: Microsoft 365 (our mailbox) and Mailjet (emails sent via the website).
• Payments: Mollie.
• Search the online shop: Doofinder.
• Cookie consent and analytics: Cookiebot (cookie banner), Google Tag Manager and Google Analytics.
• Videos: YouTube, for videos on our website.
• Business operations: our accounting and ERP software (linked via Xcore), our internal sales and customer management software, carriers who deliver your order, and partners (retail outlets) if you request a referral.
• Public authorities: where we are legally obliged to do so, for example, the tax authorities.

5. Data outside the European Economic Area

A number of suppliers, such as Google, Microsoft, Cloudflare, Kinsta and Wordfence, are (part of) a US company. As a result, data may be processed outside the European Economic Area. This only takes place with appropriate safeguards in place, such as the EU–US Data Privacy Framework or the European Commission’s Standard Contractual Clauses.

6. Cookies

When you use our website, we place cookies or similar technologies. These small files are stored on your computer, tablet or mobile phone. We use the following types of cookies:

• Essential cookies
  These cookies are necessary for the website to function, for example to remember your language, shopping basket or login details. No consent is required for this.
• Analytical cookies
  We use these to measure how our website is used, such as visitor numbers and pages visited. We ask for your consent for this via the cookie banner.
• Other cookies (including marketing and social media)
  These enable pages to be shared via social networks and allow offers and adverts to be better tailored to your interests. These cookies are set by us and/or third parties and require your consent.

7. Security

We take appropriate technical and organisational measures to protect your data, such as an encrypted connection (https), security software and restricting access to data to only those staff members who require it for their work. If you believe your data is not properly secured or that there has been a breach, please contact us at [email protected].

8. Third-party websites

Our website contains links to third-party websites. This policy does not apply to those sites. Please refer to the privacy policy of the relevant website for further information.

9. Your rights

You have the right to:

• to access your personal data;
• to have incorrect data corrected;
• to have your data deleted;
• to have the processing restricted;
• to object to processing on the grounds of our legitimate interest, and always to object to processing for direct marketing purposes;
• to receive your data in a commonly used file format or to have it transferred to another party;
• You may withdraw your consent at any time. This will not affect any processing that took place previously with your consent.

10. Complaints

Do you have a complaint about how we handle your data? Please let us know via [email protected], and we will work with you to find a solution. You also have the right to lodge a complaint with the Dutch Data Protection Authority (autoriteitpersoonsgegevens.nl) or with the supervisory authority in the country where you live or work.

11. Changes

We may amend this policy, for example if our services change. The date at the top shows when the policy was last updated.
